Who we are

CoolestCRM is the internal sales and customer system of the business that operates it at coolest.ltd. CoolestCRM is the controller of the personal information described here. It is not a public service: only members of our team can sign in.

What information we hold

Depending on how you deal with us, we hold some of the following.

• People who enquire about our services or are our customers: name, email address, phone number, company, job title, website and social profile links, and anything you tell us in an enquiry, a conversation or a document you send us.
• People who submit one of our lead ad forms on Facebook or Instagram (Meta Lead Ads): the answers you typed into the form, the time you submitted it, and the identifiers of the ad and the form. Meta sends these to us because you chose to submit the form.
• Customers we invoice: billing name, tax identification number and billing address, and the payments you make to us.
• Members of our team: name, email address and sign-in details, needed to give them access.

How we use it

We use your information only to contact you about the enquiry you made, to provide and bill for the services you buy from us, and to keep our own business records.

Information from a Facebook or Instagram lead ad form is used only to contact you about the enquiry you submitted. We do not use it for advertising, we do not add it to advertising audiences, and we do not share it with other advertisers.

We do not sell personal information, and we do not use it for automated decisions about you.

Who we share it with

We do not sell or rent your information. It is visible only to the members of our team who work on your account, and to the service providers that run our systems on our behalf:

• Google Cloud and Firebase (Google), which host the application, its database, uploaded files and team sign-in.
• Meta Platforms, which delivers lead ad form submissions to us. We do not send your information back to Meta.
• Morning (Green Invoice), which issues our invoices and receipts, for customers we bill.
• The push notification services of our team members’ browsers, which deliver short alerts (for example a new lead’s name) to their devices.
• An AI assistant, only when a team member connects one to their own account and asks it to work with our records.
• Authorities, where the law requires it.

Where and how it is stored

Your information is stored on Google Cloud in the European Union. It is encrypted in transit and at rest, access is limited to signed-in members of our team, and the credentials we use to receive Meta lead ads are themselves encrypted.

How long we keep it

We keep your information for as long as we have a business relationship with you, or for as long as we need it to respond to your enquiry, unless you ask us to delete it sooner.

When a record is deleted it is moved to a trash and permanently erased after 30 days. Files attached to it may remain for up to 7 further days in our storage provider’s recovery system before they are erased.

Invoices, receipts and other accounting records are kept for as long as Israeli tax law requires, even after the rest of your record is deleted.

Your rights

You have the right to see the information we hold about you, to have it corrected, and to have it deleted. Under the Israeli Privacy Protection Law, 5741-1981, and, where it applies to you, the EU General Data Protection Regulation, you may also object to our use of it. To exercise any of these rights, write to kblevi6@gmail.com; we answer within 30 days.

If you are not satisfied with our answer, you may complain to the Israeli Privacy Protection Authority or, in the EU, to your local data protection authority.

Cookies

This site sets one cookie, and only for members of our team who sign in: it keeps them signed in. We use no advertising, analytics or tracking cookies, and no third-party trackers.

Children

Our services are for businesses. We do not knowingly collect information about children.

Changes to this policy

If we change this policy we will update it on this page and change the date at the top.
